Positions in the LBDG Committee

These are Constitutional positions that are not formally filled, Committees or Committee-appointed positions for individual productions. There are also a number of informal roles needed within an amdram group and you can find a less formal introduction to these by looking at the roles page

WARDROBE MISTRESS

  1. Be responsible for the management of any costumes. wigs etc. owned by the Group.
  2. Be responsible for supervising security, storage, cleaning, replacement and repair of any costume owned by the Group.
  3. Supervise any alterations of Costumes, wigs etc., as necessary ensuring that these are not detrimental to the interests of the Group.
  4. During Productions liaise closely with Directors and/or Producers to ensure production requirements are met.
  5. Act as agent for the Group in the hiring out of any of the Groups costumes.
  6. Ensure that access is available to Costume store at all appropriate times.
  7. Be responsible to the Producer- for the Costume expenditure and accountability of that part of the production budget apportioned to Costumes.

ELECTRICAL PROPERTY MANAGER

  1. Be responsible for all the electrical property owned by the Group and for its safe use.
  2. Ensure that such property is kept in a safe working condition and be responsible for all necessary repairs, obtaining professional assistance if required and annual PAT testing.
  3. Liaise- closely with the Property Manager on all aspects of storage and security.
  4. Ensure that no unqualified persons are put into dangerous or unsafe situations in connection with electrical properties.

LIBRARIAN

  1. Be responsible -for the safe keeping and cataloguing of press Cuttings, scripts, books, slides, photographs, records, tapes and videos etc. which the Group may own.

NEWSLETTER EDITOR

  1. Be responsible, with assistance as necessary, for the production and distribution of the Groups newsletter.
  2. The style and policy may vary but news and views of individuals and Committees should be sought and the contributor of each item should be clearly stated.
  3. Be responsible for the final content of each Promptside issue endeavouring to include all items sent to Promptside providing they are in confection with a Current Bona-fide drama group issue. If, in the Editors judgement, space does not allow the publication of all such items then they will be published in the next available issue. The Editor, however, must not withhold publication of any item maliciously.

PUBLICITY COMMITTEE

  1. The Publicity Committee shall consist of a Chairman Plus Z-7, other members. All to be elected at the A.G.M.

SOCIAL COMMITTEE

  1. The Committee will consist of the Social Secretary plus 4 others to be selected at the A.G.M.
  2. Subject to direction from the Management Committee the Social Committee will determine what charges are to be made for events with a view to breaking even on an annual basis.

Director

(Appointed by the Management Committee for each production)

  1. Be responsible for the entire on stage production.
  2. Responsible in conjunction with the Producer for the appointment of Stage Manager, Set Designer, Prompt. Props Person and Lighting/sound Team for their production.
  3. Be responsible for the overall set design. lighting and costumes. liaising jointly with the Producer and all other persons appointed to the Various Posts.
  4. Be responsible for determining the production decide major interval positions and also for the introductory and interval music selection.
  5. Be responsible for the prompt start and finish of rehearsals in hired rooms and for the condition of such rooms when left.
  6. The Director will be an ex-officio non-voting member of the Management Committee during the period of his or her production.
  7. Be responsible, with the assistance of the Producer and Stage Manager for the production of a budget of direct production e>tpenses which must be agreed with the Management Committee through the Treasurer.

Producer

  1. The Producer must ensure that he/she is familiar with the details of the production at an early stage and that the Director's overall plans are clearly understood. He/she should liaise closely with the Director to report progress.
  2. Be responsible along with the Director and Stage Manager -for the production of budget of direct production expenses which must be agreed by the Management Committee through the Treasurer.
  3. Ensure that a rehearsal schedule is given to the Secretary -for the booking of rooms and that any additional or cancelled rehearsals are notified.
  4. Ensure that any furniture, props, effects etc. that are required during rehearsal are made available.
  5. Be responsible for arranging any transport of set, lights, props or costumes to production premises.
  6. Be responsible in conjunction with the Director -for the appointment of Prompt, Props, Set Design and Lighting/ Sound Teams.
  7. Be responsible, on behalf of the Director, for monitoring overall progress of the production and advising the Director of any problems to be resolved.
  8. Be responsible for giving full details for the programme to the Publicity Manager and for giving any relevant details to the Press Officer for general Publicity.
  9. Be responsible for the co-ordination of all items for the requirements of the production.

CASTING COMMITTEE

  1. The Casting Committee will comprise of the Director/s, plus two other Group members with knowledge of members' capabilities, nominated by the Director but approved by the Management Committee.
  2. In addition, the Management Committee will appoint, in each season, one member of the Group to serve on the Casting Committee to be responsible for ensuring the Casting Committee considers previous opportunities given to each member auditioning. This post will be non voting.
  3. The Casting Committee may be enlarged by persons with specific knowledge to take into consideration special requirements: i.e. singing and dancing etc. This post will be a voting position.
  4. Inclusion of more then one member of the Management Committee should be avoided.
  5. No member of a Casting Committee will be allowed to audition or be cast.
  6. The Casting Committee will make every effort to audition all those members wishing to be considered but being unable to attend the main audition. The Casting Committee must, though, be satisfied that the reason for non attendance is valid i.e. Holiday, Business, Illness etc.
  7. At the audition an absent member may only be considered for a part providing that:-
    1. The Casting Committee is absolutely satisfied that it is impossible for the member to attend or be auditioned elsewhere.
    2. The Casting Committee is fully aware of the person's capabilities.
    3. The Casting Committee considers his/tier inclusion essential.
  8. Should any part not be cast then an additional audition should be held before the same Casting Committee with members being invited to re-audition. Following this, should a part/s still remain uncast then the Director shall have sole responsibility for cutting it.
  9. Should the Casting Committee members be unable to reach a unanimous decision -then they will reach a decision by vote. In this event the Director will have two votes.
  10. The Casting Committee must, at all times, take into account a members suitability for a given part i.e.: Age, Height, Voice etc. and also the members previous experience both inside and outside the Group.
  11. Any person wishing to join the Group with an interest in auditioning for a specific production will be liable to a non refundable full years annual Subscription payable prior to the audition taking place.
  12. The Group may from time to time wish to invite non members with specific skills of experience to anticipate in a specific production. On these occasions a full annual subscription will be levied.
  13. Volunteers for backstage staff will be sought at the casting meeting but these will be subject to confirmation by the Director and Producer.
  14. Following the casting the Director will be responsible for advising the Management Committee and those being selected for a part as soon as possible in whatever way he/she considers appropriate. He/she will also make themselves available to brief those auditioning on the reasons for their inclusion or exclusion. This information will only be given if requested, otherwise it will not be divulged except to the Management Committee on request.

STAGE MANAGER

  1. Ensure that he/she is familiar with the details of the production at an early stage and that the Director/Producers overall plans are clearly understood.
  2. Must liaise closely with the Producer throughout the rehearsals to report progress and any problems that may arise.
  3. He/she is expected to produce a set as close as practicable to the agreed design, being responsible for the Set Designer should they decide to assist in construction of the set.
  4. Under the general direction of the Producer he/she will be responsible for- the set construction, painting and furnishing, for setting up and operation of sound effects, lighting, music and telephones, for fire proofing and the Supervision of properties.
  5. At and after Dress Rehearsals be responsible for the practical conduct of the production including Prompt and Costumes unless otherwise decided.
  6. Be responsible for the condition of the stage area from set construction to vacating the premises and be responsible for security of that area while any member of the Group is present.
  7. Be responsible for appointing whatever assistance is required, but in cases of difficulty then the Producer may take over that responsibility.
  8. Be responsible for the production and display of the compulsory attendance list for fire safety purposes. Advising cast and crew of Fire Safety Regulations and Evacuation procedures. Liaise with Theatre Management on all aspects of theatre safety and be responsible for the group's First Aid Bot.

HOUSE MANAGER

(Appointed for each production by Business Manager, Subject to Management Committees approval)

  1. Assist Business Manager with the advance ticket sales.
  2. Responsible for the provision and control of all Front of House staff.
  3. Responsible for the general layout and organisation of the Lobby.
  4. Responsible for the display of compulsory notices.
  5. Responsible for the collection of refreshment monies and for the effectiveness of refreshment arrangements.
  6. Liaise with Stage Manager- on starting and interval times.
  7. Make arrangements for the provision of refreshments for helpers and cast during "Get In", "Get Out", Technical and Dress rehearsals and during Productions.
  8. Be responsible for the clearing of litter etc. between performances (Panto only) from the Auditorium and Front of House areas.
  9. Assist Stage Manager with evacuations as necessary in emergencies.

LIGHTING/SOUND TEAM

(Appointed for each Production)

  1. Be responsible for arranging Lighting and Sound Effects to the Directors specific requirements.
  2. Ensure that adequate lights are available along with spare bulbs and that the control equipment is in good working order.
  3. Be responsible for the positioning and wiring of all lights and for the removal and safe storage of same after the production.
  4. Be responsible -for the safe operation of all lighting and sound effects as per requirements unless otherwise agreed and for the safety of the operators and players.
  5. Be responsible for the safe operation of all electrical equipment, unless otherwise agreed and for the safety of -the operators and players:-.
  6. Ensure availability for all technical and Dress Rehearsals and Productions.

PRODUCTION PROPS PERSON

  1. The Props Person must work closely with the Property Manager and Producer to ensure that props are available when required during both rehearsals and productions.
  2. Be responsible for personal effects, when used as props, from whatever source they come.
  3. Be responsible for the return of all props immediately after productions.
  4. Be responsible to the Producer for the property expenditure and accountability of that part of the Production budget apportioned to props.
